Your Monthly Newsletter Playbook

Newsletters are one of the simplest, most effective ways to stay connected with your entire database. These four templates give you a full year of content when rotated quarterly. Here's how to get the most out of them.

Quick Reference

DetailRecommendation
FrequencyOne newsletter per month, minimum
RotationAlternate between the 4 templates quarterly
Length500 words max per newsletter
Best Send DayTuesday or Thursday, 9-10 AM
PlatformsMailjet, Mailchimp, Flodesk, or your CRM's built-in email

Ground Rules

  • Customize the brackets. Every section in [brackets] is a placeholder. Swap in your local data, your city, your numbers. The more specific it is to your area, the better it lands.
  • Keep it short. People scan, they don't read. Say what you need to say in 500 words or fewer. If it feels too long, it is.
  • Subject line matters more than anything. Keep it curious, not clickbaity. If your subject line doesn't earn the open, the rest doesn't matter.
  • Always include your photo, phone number, and a clear call to action. Every single newsletter. No exceptions.
  • Be consistent. One newsletter a month, every month. The agents who win with email are the ones who show up reliably, not the ones who write the best copy.
Pro Tip: Batch your newsletters. Sit down once a quarter and customize all three upcoming newsletters at once. Schedule them in your email platform and forget about them. Consistency without the weekly stress.

Quarterly Rotation

MonthTemplate
January / May / SeptemberTemplate 1: Monthly Market Snapshot
February / June / OctoberTemplate 2: Neighbourhood Spotlight
March / July / NovemberTemplate 3: Seasonal Tips + Home Ownership
April / August / DecemberTemplate 4: Client Story + Soft Sell
Remember: This rotation is a suggestion, not a rule. If something big happens in your market and a Market Snapshot makes more sense two months in a row, go for it. Read the room. The templates are tools, not a rigid schedule.

Subject Line Options (pick one)

  • "What happened in [City] real estate this month"
  • "[Month] market update: here's what the numbers say"
  • "Is it a buyer's or seller's market right now?"
Why this works: Market data makes you the expert without you having to say you're the expert. When someone gets a market update from you every month, you become their go-to source. That's the whole point.
The Newsletter

Hey [First Name],

Here's your quick look at what happened in [City] real estate this [Month].

Average Days on Market[X] days

What This Means for You

[2-3 sentences interpreting the data in plain English. Talk to them like a friend, not a textbook. For example:]

Right now, we're sitting at [X] months of inventory, which means [it's leaning toward a seller's market / things are pretty balanced / buyers have more room to negotiate than they've had in a while]. If you've been thinking about [buying / selling], this is useful context to have in your back pocket.

One Thing to Watch

[A trend or insight that adds value. Pick one and expand on it in 2-3 sentences. For example:]

Interest rates are expected to [hold steady / drop slightly / increase] heading into [next month / the spring market]. For buyers, that could mean [slightly more purchasing power / a reason to lock in sooner rather than later]. For sellers, it means [buyer demand may stay strong / we might see a bit more competition from new listings].

OR

I've noticed a trend in [Neighbourhood]: homes with [updated kitchens / finished basements / suites] are selling [X]% faster than comparable properties without. If you're thinking about selling and wondering whether a small reno is worth it, that's a conversation worth having.

Customization Notes:
  • Pull your stats from your local real estate board's monthly report.
  • Don't overthink the "What This Means" section. Pretend you're explaining it to a friend over coffee.
  • The "One Thing to Watch" is your chance to sound like a true local expert. Pick something timely and relevant.
  • Swap the data table for a simple bulleted list if your email platform doesn't render tables well.
